AI is Being Used to Mask FM’s Real Problems

AI is now one of the most talked-about innovations in Facilities Management (FM). It’s positioned as the game-changer that will drive efficiency, improve decision-making, and reduce costs. But when we look beyond the headlines, a different reality emerges: AI is not fixing FM’s biggest problems. Instead, it’s being used as an excuse to avoid tackling them.

Instead of addressing contract failures, workforce instability, and poor data management, FM firms are pointing to AI as the solution—when in reality, these issues need fixing before AI can even work properly.

 

Where AI is Being Used as an Excuse in FM 

1. AI in Workforce Planning – Covering Up High Turnover

FM firms talk about AI-driven workforce management—better scheduling, predictive staffing, and automated HR analytics.

But what’s really happening? AI is being used to mask an industry-wide retention problem.

 

  • FM firms can’t keep staff because wages are too low and career progression is unclear.
  • High turnover leads to poor service quality, missed SLAs, and client complaints.
  • Instead of fixing retention, FM firms implement AI scheduling tools to ‘optimize’ staff allocation—without solving the real problem.

AI can help with workforce planning, but it won’t change the fact that FM workers are leaving the industry at record rates.

 

2. AI in Contract Management – Hiding Poor Service Delivery

AI is being pitched as the future of contract management and compliance tracking. AI dashboards now monitor SLAs and KPIs in real-time.

But does that mean contract performance is improving? No.

 

  • AI is tracking contract failures, not preventing them.
  • Service delivery is still suffering due to underbidding and cost-cutting.
  • Instead of fixing the way FM contracts are structured, firms are using AI reporting tools to ‘prove’ they are managing performance—even when standards are slipping.

It’s clear that AI can bring value to FM—but only if the fundamentals are fixed first. Right now, AI is being used as a branding tool rather than a real solution.

FM firms need to stop investing in AI for PR reasons and focus on where AI can actually deliver measurable value.

FM is a people-driven industry. AI should enhance workforce decision-making—not be used as a way to cut costs at the expense of frontline employees.

 

3. Fix Data First, Then Apply AI

Without accurate workforce data, contract data, and asset registers, AI will never deliver real results. FM firms must fix their data issues first.

 

Final Thought: Stop Using AI as a Distraction

AI has the potential to improve FM, but right now, it’s mostly being used to cover up deeper industry failures.

 

  • If AI is being used to track contract failures instead of fixing them, is it really helping?
  • If AI is being used to allocate staff instead of improving retention, is that progress?
  • If AI is being used for predictive maintenance, but firms still don’t have reliable asset registers, is that efficiency?

FM firms need to get honest about whether AI is really driving transformation—or if it’s just being used to mask the industry’s biggest problems.
